Attach the extraction suite (FILEX, MEDEX, RESIDEX — loose files or one .zip case folder) and put the client's name in the subject line as Last, First. That's it — the case opens (or refreshes) automatically. Re-sending an updated suite later is safe; it replaces the old extracts and never duplicates records.
Describe the case in the same email and it gets coded at open: "UIM case, also sue the driver, policy limits 250k, defendants: Robert Kane and Ace Trucking" sets the coverage type, joinder, limit, and defendants on the case file — the confirmation email repeats back what it coded.
Attach the served papers (the interrogatories / requests to produce / requests for admission — PDF or Word; scans are fine, they get read automatically) and say what you want in the body. Anything else you write becomes notes to the drafter, so tell it what matters.
Answering a second set? Attach the new served set and our answers to the first set (the "RESP - PL ..." file). The prior answers are used as reference so the new answers stay consistent — they are never re-answered.
Case already open? No need to re-attach extracts — just put the matter number (or the client's last name) in the subject.
